ManageEngine vs Freshservice
vs ServiceNow 2026
Which one for a Polish 100-500 employee company - TCO, features and scenarios with no marketing
A disclaimer up front: we are a ManageEngine partner. We have an interest in you picking this system. At the same time, our reputation is worth more than a single sale. That is why this article also covers the situations where a competitor will be the better choice.
The three products in brief
ManageEngine ServiceDesk Plus
A product from India-based Zoho Corporation. Available in cloud and on-premise (important - most competitors are dropping on-premise). Strong CMDB, Asset Management and Change Management modules. Over 15 years on the market. Licensing model: per technician (number of agents), not per end user.
Freshservice
A Freshworks product (listed on NASDAQ). Pure cloud. Very good UX and fast deployment. Strong API and marketplace of integrations. Popular with SaaS firms and tech startups. On-premise availability: no.
ServiceNow
The enterprise ITSM market leader. A platform for everything - ITSM, ITOM, HRSD, CSM. Cost and complexity are enterprise-grade - this is not a product for a 100-employee company. Licensing model: per user of specific modules, minimum packages, negotiated prices. Availability: SaaS only. ServiceNow does not offer on-premise deployments. For the regulated sector, dedicated cloud instances are available (a private cloud hosted by ServiceNow).

Feature comparison
| Feature | ManageEngine SDP | Freshservice | ServiceNow |
|---|---|---|---|
| Incident Management | Full ITIL v4 | Full ITIL v4 | Full ITIL v4 |
| Change Management | Yes (CAB, approvals) | Yes | Yes (full) |
| CMDB | Built-in, extensive | Basic | Extensive |
| Asset Management (ITAM) | Very strong | Medium | Full |
| AI / Virtual Agent | Zia AI | Freddy AI | Otto AI (formerly Now Assist): GenAI |
| On-premise | Yes | No | No |
| Polish UI | Yes (partial) | No (English) | No (English) |
| Polish technical support | Via partner (Rotech) | No local support | Via partner |
Cost comparison - how the three systems are positioned
We do not give specific figures here because ITSM prices depend on technician count, edition, modules, add-ons and negotiated terms - and none of the vendors publishes a full, open price list in PLN. Below we show the relative cost positioning, which is stable and confirmed by the structure of each vendor's offering.
| Cost component | ManageEngine SDP | Freshservice | ServiceNow |
|---|---|---|---|
| License / subscription | Low to medium; per-technician billing; Free edition available | Medium; per-agent subscription | High; enterprise segment, negotiated pricing |
| Implementation | Medium | Usually fast and simpler | Complex, requires certified specialists |
| Training | Moderate | Low (intuitive UI) | Higher (complex platform) |
| Deployment model | On-premise or Cloud | Cloud only | Cloud only (private cloud for regulated sector) |
| Overall TCO positioning | Lowest among the three | Medium | Highest (enterprise segment) |
Conclusion: ServiceNow is significantly more expensive in total cost of ownership than ManageEngine or Freshservice - it is an enterprise platform with matching pricing. For a 100-500 employee company ServiceNow makes sense mainly if you also use other modules of the platform (HRSD, CSM) or manage a very complex environment. Always calculate specific figures based on current offers for your scale.
When to pick ManageEngine ServiceDesk Plus
Pick ManageEngine when:
- You need on-premise (compliance requirements, sensitive data, no approval for cloud)
- You have a strong need for Asset Management and CMDB (e.g. a manufacturing company, large hardware inventory)
- Budget is limited - ManageEngine TCO is the lowest among the three
- You want the full ManageEngine stack (OpManager + Endpoint Central + AD360) with integration
- NIS2 or ISO 27001 compliance is a priority - CMDB + log management + ITSM in one ecosystem
Where ManageEngine falls behind the competition: the interface is less modern than Freshservice, especially for end users. The integration marketplace is smaller than Freshservice's. The developer community also trails ServiceNow. If you are weighing a head-to-head with one of them, read our article ManageEngine vs ServiceNow 2026.
When to pick Freshservice
Pick Freshservice when:
- Fast deployment is a priority (weeks, not months)
- Your company is tech-friendly - users will love the interface
- You have many integrations with SaaS tools (Slack, Jira, Salesforce)
- Asset Management and CMDB are not critical
- You do not need on-premise
Where Freshservice falls behind: no on-premise - if you have compliance requirements or regulated data, Freshservice is out. The CMDB is basic. No Polish UI and no Polish-language technical support.
When to pick ServiceNow
Straight up: for a 100-500 employee company, ServiceNow is almost always too much. There are exceptions, though.
Pick ServiceNow when: A detailed cost breakdown is in our article on how to convince the board to buy ITSM.
- You are part of a large corporation that already uses ServiceNow (platform standardization)
- You need ITSM + HRSD + CSM on one platform and have a budget above 500,000 PLN per year
- You have an internal developer team ready to maintain the ServiceNow platform
Scenarios - who picks what
Polish manufacturing company, 300 employees, Comarch ERP, large machine park:
ManageEngine ServiceDesk Plus + AssetExplorer. Reason: on-premise possible, strong CMDB for OT machine inventory, Comarch integration via API, NIS2 compliance.
Software house / agency, 120 employees, remote work, Slack/Jira/GitHub tooling:
Freshservice. Reason: excellent integrations with the developer ecosystem, fast deployment, modern UI, no need for on-premise.
Polish logistics company, 450 employees, 4 warehouses, critical network monitoring:
ManageEngine ServiceDesk Plus + OpManager. Reason: network monitoring (OpManager) integrated with ITSM, automatic tickets on network device failures, on-premise possible.
Polish branch of a global corporation, 200 employees, central ServiceNow at group level:
ServiceNow (no choice). Standardization on the group platform wins over cost.
Q&A
Is ManageEngine safe for the data of a Polish company?
ManageEngine offers on-premise (servers in your company) and cloud (EU data centers). For companies with GDPR and NIS2 requirements, on-premise removes any questions about data location. Rotech Group runs on-premise implementations across Poland.
Can ServiceNow be implemented without ServiceNow specialists?
No. The platform requires certified administrators (ServiceNow Certified System Administrator certification means a few thousand PLN and a week-long course). An in-house administrator or an expensive partner is an additional hidden cost not visible at a first look at price lists.
Can data be migrated between ITSM systems?
Yes, both vendors expose a REST API. Migrating historical data is possible - it requires a project, but it is feasible. We have done such migrations from Freshservice to ManageEngine and back. Migration project time: 4-8 weeks.
